Upstream organization

Upstream organization is the moment when most of the emissions are likely to be defined. It is also when the participants choose their means of transportation and accomodation. Therefore, be sure to do everything possible in order to reduce greenhouse-gas emissions at the origin :

  • It is really necessary to move so many participants? Today, there are efficient means of communication that can prevent remote trips: videoconference, webconference...
  • Optimizing the trips: instead of organizing only one international conference in a signle place, can't there be several regional ones?
  • Choosing the place of the event: in order to minimize the participant's trips in the area, it is best to choose the place of the event neartransportation infrastrucutres (train station, airport) and easily accessible with public transportation.
  • Communication your will to reduce the conference's greenhouse-gas emissions is an important step of the process. For instance, you can influence the participants choice of transportation when sending the invitations. Communication allows increasing everyon'e's awarness of the issue.

Reduce the energy consumption at the source...

In France, real estate accounts fort 23% of the country's CO2 emissions for heating and air conditionning:

  • In winter: choose a heating temperature of 19°C. The energy savings are about 7% per degree. In summer, adjusting the temperature between 5 and 7°C below the outdoor temperature is often sufficient and prevents energy overconsumption (source : ADEME)
  • Give priority to a well-insultated room over and energy-consuming room.
  • Choose a room suited to the number of participants and not over-sized.

Reduce the emissions of local transportation

On the premises, the participants can be encouraged to take public transportation

  • By giving them a bus map or an underground map in the welcome kit
  • By including a book of bus tickets or subway tickets in the welcome kit
  • By organizing shuttles between their arrival place and the place of the conference

Reduce the emissions of the participants’ accommodation

Energy consumption in hotels is directly proportional to the hotel’s rating (source : Accor, 2005 annual report) :

  • 0/1 star: 5000 kWh/room
  • 2 stars: 8000 kWh/room
  • 3 stars: 8 à 15 000 kWh/room
  • 4 stars: 15 à 30 000 kWh/room

There are also other ways to reduce the emissions :

Give priority to hotels with an eco-label : the european ecolabel.

Once the hotel is booked, there are many ways to reduce one’s impact on climate change :

  • Switch off the air conditioning
  • Turn off all appliances at the wall
  • Reduce the use of samples
For more than one-night stays, do not send the sheets and towels to be cleaned  every day, etc.

Eating with the seasons...
In France, farming accounts for 19% of the country’s emissions. They are mainly due to the making of fertilizers, to the machines working the earth, to the digesting and evacuation of the cattle, and to the freight all the way to the final customer. Here are a few basic rules:

  • Suggest local food for the meals
  • Select seasonal meals
  • Give priority to unpackaged food
  • Avoid disposable utensils and excessive packaging, or give priority to recycling.
Whenever possible, give priority to organic food. This kind of food is 30% to 40% less emitting than regular food from the agribusiness. organic bio

The intelligent decoration...

Posters, flowers, plants and gifts are always pleasant for the participants. However, their fabrication also has consequences on greenhouse-gas emissions.

  • Printings: ecoconception in communication is the subject of an extremely detailed brochure from the ADEME. The main principles are: space out the page setting, avoid tint areas, choose a standardized format, reduce the number of editions, choose a low basis weight, choose a certified “Imprim’Vert” printer, use vegetables inks, etc…
  • Flower decoration: if you choose to give flowers to the participants or decorate the room with flowers, it is essential to choose seasonal flowers. In winter, growing a carnation in a greenhouse can require up to 1,5 liters of petroleum.
  • Gifts: offering gifts has become something common. Is it really essential? If you absolutely have to offer gifts to the participants, choose useful and reusable gifts, without batteries.
